It replaces manual spreadsheet tracking with a dashboard showing upcoming, expiring, and overdue records across a whole team.
How do companies track license expiration dates?
Most small teams start with a spreadsheet and manual calendar reminders. The standard upgrade is a dedicated expiration tracking system with centralized records, assigned owners, and automated reminders at 30, 60, and 90 days before each deadline. Teams managing 20+ licenses across multiple people benefit most from software.
What happens if a professional license expires?
When a professional license lapses, the holder may be prohibited from practicing until reinstated. Healthcare providers risk billing gaps, contractors may lose permit-pulling rights, and insurance agents cannot legally sell policies. Most states charge reinstatement fees on top of standard renewal fees, and some require additional CE hours.
How far in advance should you start the renewal process?
Most licensing boards recommend starting 60-90 days before expiration. This allows time to complete required continuing education (CE) hours, gather supporting documents, and process the application. Multi-state license holders should start 90 days out since each state board has its own processing timeline.
